Getting Started with Synchronization

Follow these steps if you're using the synchronization tool on your site with Microsoft Outlook® for the first time.

1. Download and install Intellisync

To download and install Intellisync:

  1. Select Tools > Utilities from the Menu. The WebOffice Utilities page appears.

  2. Click the Synchronization link. The Synchronize page appears.

  3. Mark the checkbox to accept the Terms of Service.

  4. Click the Download Now button.

  5. Follow the InstallShield directions and download Intellisync to your computer desktop.

  6. Double-click the Intellisync icon on your desktop. The files self-extract and install on your computer's hard drive.

2. Back up your data

Before synchronizing, you must back up your data in Microsoft Outlook.

To back up your Microsoft Outlook data:

  1. In Outlook, select File > Import and Export.

  2. Select Export to a file, and then click Next.

  3. For file type, select Personal Folder File (.pst), and then click Next.

  4. Select the folder you want to synchronize.
    If you're synchronizing calendar information
    , select the Calendar folder, and then click Next.
    If you're synchronizing contact information
    , select the Contacts folder, and then click Next.

  5. Accept the default file location and options, and then click Finish.

3. Synchronize

To synchronize with Microsoft Outlook:

  1. On your computer desktop, click Start > Programs > WebEx > Intellisync for WebEx to launch the sync client software.

  2. Enter the web address for your site, your login name, and password, and then click OK.

  3. If required, configure your proxy server information.

  4. Click Configure and follow the prompts to choose the applications you want to synchronize.

Choose a web office application

Click the checkbox beside the web office applications you want to synchronize. You can choose from Calendar, Contacts, Members, or Tasks.

Choose Outlook or Palm

In the Translator dialogue that appears, click the MS Outlook radio button. Click Browse to choose the Outlook folder you want to synchronize.

Choose Import, Export, or Synchronize

Click the radio button that describes which operation you want to do: Import copies data from Outlook into your web office.
Export
copies data from your web office into Outlook.
Synchronize
combines data from your web office with data from Outlook.

  1. Click OK.

    If you're importing data into your site or synchronizing, determine whether you want the data to be visible to everyone in your web office or just to you. By default, the data you import into your web office is visible just to you, but you can make it visible to all members of your site if you like.

  2. Click the Start button on the Intellisync client program to begin the synchronization.
