Viewing folders and their contents

There are two approaches you can use to view folders and their contents:

To view folders from the All Folders tab:

  1. In the Menu, click Documents, then click the All Folders tab.

If you have Manage access to a folder, you see the following icons next to it: Edit , Move , Delete , Managers , and Permissions . If you do not have Manage access to a folder, you see only the Managers icon beside it. Click the Managers icon to find out who the folder managers are and contact them if you would like to request a higher access level to the folder.

Note: The Public Documents tab only appears if guest access has been enabled for your site's Documents application.

  1. To view a folder's subfolders, click its expand icon. To close a folder, click its collapse icon.

  2. To expand all folders, click the expand all icon at the top of the folder list. To collapse all folders, click the collapse all icon.

  3. To view the contents of a specific folder, click its link.

To view the Group Documents, Personal Documents, or Public Documents folder:

  1. Click the tab for the folder you want to view.

The contents of the folder you selected may include individual document files, indicated by this icon , or additional subfolders. Group and public sub-folders have this icon while personal sub-folders have this icon .

  1. To drill down into a subfolder, click its Title link.

As you drill down into a folder, the title bar shows you where you are in the folder tree. To quickly move back up the folder tree, click a link in the title bar.
 


 

  1. To view a document's details, click its Title link. A document's details look similar to this:


     

  2. To view a document's contents in your browser window, click its File link.

    Note:
    You must have the correct software installed on your machine in order to view a document's contents.

  3. To restrict the contents list to documents only, uncheck the Show Folders option.

  4. To sort the contents list, choose an option from the Sort by menu. You can sort by title, file, size, author, or date.
